Combined with the photocopier’s Scan function, FileStar stores documents in a secure online cloud-based repository. FileStar instantly performs Optical Character Recognition (OCR) which means that any document can be searched for and retrieved based on its content, including handwritten annotations and notes.

FileStar can recognise key data within a document, such as Purchase Order Numbers, Serial Numbers, Company Names, and automatically populate this into easily searchable fields. Documents can be filed against different Categories, each with its own access permissions and retention policy, helping to ensure GDPR compliancy. Workflows can be added to each category so that the status of a file, such as a quotation or invoice, can be searched for and updated. FileStar can create secure links to documents or selected pages within documents, which can be password protected and shared via email. In addition to scanning, FileStar includes “email drop addresses” so that attachments can be forwarded directly via email without printing/scanning. An add-in for Microsoft365 ensures further integration with the most popular office software.

Barracuda is an integrated Desktop and Mobile Job Management solution. Jobs can be raised in the office and sent to workers’ phones or tablets, where they receive detailed instructions about the client, address, contact information and work to be completed. Field workers can then ensure they complete all the required information, risk assessments, reports, photographs and signatures, which are stored on the mobile device and sent back to base as soon as a network signal is available. This means jobs can be checked and invoiced as soon as they have been completed, without the need to wait for paperwork to return to the office.

Unlike many of its competitors, Barracuda Mobile operates without the need for a network signal at the point of work: once jobs have been downloaded, fieldworkers can operate in the most remote locations without relying on connectivity. From the desktop, Barracuda Office provides company-branded templates for quotations, purchase orders and invoices, and integrates with leading accounting packages such as Sage and Xero. Barracuda Office can keep track of clients’ assets and servicing intervals, generating related mobile task and safety certification, which can be made accessible online via a Client Portal. Importantly, it can be easily modified and adapted to a company’s needs as it grows and adapts to market needs.
